How to print or export user data from KnowAll Matrix

Introduction

This help topic explains how to print or export user data from the system. You can export all users or a filtered list of users.

From the A-Z list of users

  • Log in as a Library Admin user, then click Library Admin.
    • Note that you may require additional permissions to view user data. If you lack these, contact your system administrator or Bailey Support.
  • Click Users, then under Users Admin, click Library Users A-Z to open the Library Users A-Z screen, as below.

  • When your first open the list, you will only see live library users.
  • If you wish to filter on different types of users (deactivated users, redacted users, opted-in users etc.), use the drop-down menu at the top of the page
  • To filter alphabetically, use the letters (displayed left-to-right).
  • Click on the arrows next to a column header to sort by that column.
  • When you have finished applying filters to your list, use the print/export buttons (highlighted above) to print, export or copy the list of users on the screen. The options are as follows:
    • Print: opens a Print window so you can print the list immediately.
    • Copy: copies the list to your computer clipboard (including column headers), so that you can paste the data into another application.
    • CSV: export the list to a CSV (Comma Separated Values) file. You can download the list to your PC and then you can import the user data in the CSV file into other applications.
    • PDF: creates a PDF document with the user data displayed in a table.

From filtered lists based on Class/Department/Location etc.

  • Log in as a Library Admin user, then click Library Admin.
  • Note that you may require additional permissions to view user data. If you lack these, contact your system administrator or Bailey Support.
  • Click Users, then under Browse By, click the relevant option based on which users you wish to view. This opens the Library Users By… screen with a drop-down menu, as below.

  • Select the required option from the drop-down menu (in the example above, you would chose a location).

  • The screen will display a list of matching users, as above.
    • If you need to change the value used, use the drop-down menu above the list.
  • Click on the arrows next to a column header to sort by that column.
  • When you have finished applying filters to your list, use the print/export buttons (highlighted above) to print, export or copy the list of users on the screen. The options are as follows:
