How to use AutoCat to create a Catalogue record from an ISBN

Introduction

This topic tells you how to use AutoCat to import a Title record and book cover image to your catalogue.

You can use AutoCat to download bibliographic records from such external data sources as Google Books, Library Hub Discover or Wildy. It uses the ISBN to download the relevant bibliographic data and image (when available) to fill-in the Title fields as much as possible.

It’s also possible to use a Library of Congress Control Number (LCCN) instead of an ISBN, but in that case, the Library of Congress data source must be specified.

For every Title record that you create using AutoCat, SLLS will also automatically create a Copy and a Copy Item record using your default values.

How to use AutoCat from your Library Admin Dashboard for individual Title records

If you have the AutoCat widget on your Library Admin Dashboard you can use the tool right from your Library Admin homepage.

  • Log in as a Library Admin user.
  • Click on your Library Admin Dashboard.
  • Find the AutoCat widget.
  • Type in, copy & paste or scan the ISBN of the Title you wish to catalogue.
  • Click Download from and select the external data source you want to use.
    • If the button only reads ‘Download’, the system has been set to download data from the first source it can find (from a preset list). If you wish to manually choose the source, you can change this option via Configuration > General > Settings (look for ‘Can Select AutoCat Source?’).
  • If AutoCat finds a match you will be taken to the Title Details (View/Edit) screen for your new Title record. A new Title, Copy and Copy Item record has now been created.
  • You can now amend any of the details in your new Title, Copy or Copy Item record.

How to use AutoCat to create multiple Title records

  • Log in as a Library Admin user.
  • Click on your Library Admin Dashboard.
  • Click on the Catalogue menu.
  • Under the AutoCat subheading, select Automatic Cataloguing.
  • For an ISBN search make sure the ISBN Lookup tab is selected.
  • Using the first field on the page type in, copy & paste or scan in as many ISBNs as you want to look up.
  • As the system receives the data it will move the ISBNs to the second field (labelled ISBNs to find).
  • When you have entered all the ISBNs you wish to search click Download from and select the external data source you want to use.
  • The system will tell you how many ISBNs it has found a match with. Any ISBNs without a match will remain displayed on the screen so you can try another data source.
  • When only some of the titles are found you will get a message telling you how many titles were added and you can click the View Here option to check them.
  • Once all the ISBNs have been found the system will automatically display the list of Recently Catalogued Titles
  • You can amend any of the records if you wish by clicking the pencil icon to the right of the relevant title.

Remember: if you are using pre-printed barcode label you need to edit the Copy Item and scan in the barcode label you have assigned to that item.
